Digital Cleanup

Estonian University of Life Sciences Digital Cleanup is taking place from 05.01 to 02.02.2026

Similar to the environment, the digital world is also filled with a vast amount of “digital waste” that takes up a lot of space on our smartphones, tablets, laptops, computers, servers, and so on. By deleting all unnecessary files, apps, photos, and videos, we extend the lifespan of our devices, reduce our ecological footprint, and feel more balanced ourselves.

To reduce the digital footprint of the Estonian University of Life Sciences, we invite all staff and students to remove personal unnecessary files from their devices and shared server spaces.

 

Two-week cleanup plan:

  • Mon & Thu – Organize desktop files and files on your phone
  • Tue & Wed – Organize downloaded files and place them into appropriate folders
  • Fri & Mon – Free up space in the cloud (OneDrive, SharePoint, Nextcloud)
  • Thu & Fri – Organize Outlook mailbox
  • Wed & Thu – Inform the educational technologist about unnecessary Moodle courses and delete outdated BigBlueButton recordings

The EMÜ IT department recommends focusing on the following three folders during the digital cleanup on work laptops and desktops:

  • Desktop
  • Documents (including Pictures)
  • OneDrive

For all of these, it is advisable to sort out necessary files and delete unnecessary or outdated temporary files.

In addition, the following should also be checked:

  • Remove meetings saved on videosild.emu.ee that are no longer needed.
  • All active Microsoft Teams and SharePoint users should review their Teams groups, channels, files shared in chats, and recorded Teams meetings, as all these are stored in SharePoint libraries in the background.
  • It is also recommended to critically review any SharePoint sites created for projects or collaboration (maaylikool.sharepoint.com) and delete the entire site or remove unnecessary files if needed.

For both personal and work computers, it is important to empty the Downloads folder, as over time it accumulates all content downloaded from web browsers and other programs. Move important files and documents to the Documents folder if necessary.

Note! Before deleting, take the time to organize files and emails on your computers and phones. Files and emails should be organized to ensure that all institutionally important documents are registered in DHS (including all attachments and signature containers) or printed out. Documents to be registered at the university are listed in the Estonian University of Life Sciences document list.
